Clinical Study Data Transfer Agreement

Innovation UBC has simplified the process to send and/or receive de-identified data for clinical academic studies involving UBC. 

This Clinical Study Data Transfer Agreement can be used for data transfers to non-Canadian institutions, where the data was collected primarily for UBC research as approved by a UBC Research Ethics Board, and there can be no funds exchanged under this Clinical Study Data Transfer Agreement (DTA). This DTA should not be used for clinical data that is intended to be included in a registry, clinical patient data that was collected in the context of clinical care or for studies that involve an exchange of funding between the parties. 

For clinical data transfers between Canadian institutions, UBC is now using the governing Data and Biological Sample Sharing Agreement (gDSSA), developed by the Accelerating Clinical Trials (ACT) Canada Consortium. For data transfers within Canada, UBC faculty members should submit a Contract Request Form to our sponsored research team at sponsoredresearch@innovation.ubc.ca.

In order to meet the increasing demands of users for data transfer agreements in a timely manner, our team cannot accept modifications to this Data Transfer Agreement template. This template is not negotiable and there can be no changes accepted. 

INSTRUCTIONS

  1. Complete the form accurately. Please ensure, for example, that you have the correct contact details of the collaborating party, since this can no longer be changed once the form has been submitted.
  2. Acknowledge that you understand the terms and conditions.
  3. Click 'Submit'.
  4. Check your email. You will receive an email (sent to the address you specify in the form) with a PDF version of the agreement.
  5. Obtain signatures from the UBC researcher and the data provider and/or receiver.
  6. Send the signed agreement to sponsoredresearch@innovation.ubc.ca. We will obtain UBC’s and UBC’s affiliated hospitals signatures and return a copy to you when complete.
